The FlexNow Exam Administration System

The exam administration system FlexNow has been in use at the University of Göttingen since 1999. Today, some 100,000 examination tasks are managed each semester.

In order for the entire process from registration through to announcement of results runs smoothly, each of the following steps must be carefully coordinated:

  • Correct presentation of the register of modules in FlexNow (degree programme supervisors)
  • Correlation of course with appropriate modules and announcement of examination dates in UniVZ (teaching staff/secretariats)
  • Transfer of examination dates to Examination Office via interface (degree programme supervisors)
  • Registration (and if necessary de-registration) within the stipulated periods (students)
  • Before the examination: Retrieval of list of participants from FlexNow2 to check preliminary work for examination and attendance (teaching staff/secretariats)
  • After the examination: Grades input into FlexNow2 and results released (teaching staff/secretariats)

Various tools have been set up to ensure the quality of the data and procedures: For instance, after amendments to the exam regulations, degree programme supervisors receive summaries of the changes that have been made in FlexNow and verify them (the “second set of eyes” principle). Students are also automatically reminded by e-mail about the deadlines for registering and de-registering for the relevant modules, in order to avoid them accidentally being missed.

FlexNow for Students

FlexNow provides students with access to their examination data any time and from anywhere. Registration takes place online, and examination results can be viewed in the same way. Effective registration for an examination is immediately verified and documented by e-mail. Exam information, results and up-to-date messages are also available online. Faculty-specific rules and notices can be found on the website of the relevant Examination Office.

In addition, there are numerous self-service features available centrally, e.g. allowing work records to be produced for various purposes (application for Master degree, Student Advisory Service, self-assessment). Therefore most standard procedures no longer require a visit to the Examination Office in person.

FlexNow for Teaching Staff and Secretariats

Using the link ecampus.uni-goettingen.de teaching staff can access and export lists of exam participants, enter results and send messages about the examination results. This simply requires a University account, no further clearance is necessary.

These tasks can also be delegated to others (in particular secretariats). This requires completion of an online form. Monthly training for beginners is offered as part of continuing professional development (CPD) for employees (“Administration systems in teaching” unit).
